Kips Mobile Bar Terms & Conditions
These terms and conditions are in place to ensure clear communication and a smooth experience for all bookings with Kips Mobile Bar. By proceeding with a booking, you agree to the following terms:
1. BOOKINGS AND PAYMENTS
1.1 A non-refundable deposit of 25% of the total quoted price is minimum required within 7 days of receiving your quote to secure your booking. This deposit is included in your total price.
1.2 Failure to pay the deposit within 7 days will render your quote and selected event date invalid.
1.3 The remaining balance must be paid no later than 2 weeks before the scheduled event date. If the balance is not paid in full by this time, your booking will be cancelled, and cancellation fees as outlined in section 2.1 will apply.
1.4 We accept payments via bank transfer, cash, Stripe Debit & Credit Card Payments and PayPal. All payments must be made using one of these methods.
2. CANCELLATION AND CHANGE OF DATE POLICY
Cancellation:
2.1 Cancellations from booking up to 14 days before the event will incur a sacrifice of your 25% deposit for a cancellation fee of the total booking amount.
2.2 Cancellations made within 14 days of the event will incur a 50% cancellation fee of the total booking amount.
2.3 For cancellations within 48 hours before the event, no refund will be provided.
Change of Date:
2.4 You may change your event date up to 14 days prior to the original date at no additional cost, subject to availability. Please contact our team to confirm the change.
2.5 Any date change request made within 14 days of the event will be treated as a cancellation, and fees outlined in section 2.2 will apply. A new booking will be required.
2.6 If more than one date change is requested, the cancellation fees outlined in section 2.3 will apply, and a new booking will be required.
2.7 If the date change is due to severe weather or other unforeseen circumstances, please contact our team, as the cancellation policy may not apply.
3. LOCATION CHANGES
3.1 A change of location within a 25 km radius of Grafton, NSW, 2460, can be made without additional fees, these changes can only be made provided our team is notified a minimum 12 hours before the event
3.2 Changes of location outside the 25 km radius may incur additional fees, these changes can only be made provided our team is notified a minimum 12 hours before the event.
4. DRY HIRE
4.1 The event holder will be billed for any damage or missing equipment.
4.2 A cleaning fee of $100 will be charged if the bar requires additional cleaning upon pick-up.
4.3 The bar must be returned in the same condition as it was received to avoid these charges outlined in 4.2.
5. DISRUPTIONS
5.1 We are not responsible for any disruptions to the event schedule caused by circumstances beyond our control. Our obligation is to provide only the services booked.
6. WEATHER POLICY
6.1 If severe weather occurs on the event day and no alternative weather-proof option is provided, we will not be able to provide services. Please ensure there is a weather-safe option to avoid disruption.
6.2 If services have commenced, no refund will be provided. We offer a change of date if services have not yet been rendered, including travel to the event.
6.3 It is the responsibility of the event holder to monitor weather conditions leading up to the event and inform our team of any changes to avoid clause 6.2.
7. CUP HIRE
7.1 We provide high-quality, reusable PET cups. A fee of $50 will be charged for every set of up to 10 cups that are damaged or not returned by the end of the service. An invoice will be issued for any owed amounts.
8. DAMAGES AND MISSING EQUIPMENT
8.1 The event holder will be billed for any damage or missing equipment.
8.2 This excludes damages caused by our team. We assume full responsibility for any damages caused by our staff.
9. EVENT HOLDER’S RESPONSIBILITY
9.1 It is the event holder’s responsibility to ensure the event is safe and suitable for our services. Our team reserves the right to refuse service if they feel unsafe or uncomfortable, without the possibility of a refund.
9.2 The event holder must provide clear, safe access for our mobile bar to enter and exit the event venue. The area where the bar will be stationed must be level and safe.
9.3 The event holder must ensure an adequate power supply (minimum of 6kw) for the operation of our bar. If power is not available, we offer a generator for hire.
9.4 We provide an extension cord up to 15 meters in length. If additional length is required, it must be provided by the event holder.
9.5 If the event holder fails to meet these requirements, services will not be provided, and no refund will be issued. This includes failure to provide stock or power if self-supplied services are selected.
10. OUR RESPONSIBILITIES
10.1 We will provide all agreed hire services as outlined in your booking confirmation.
11. USE OF THIRD-PARTY EQUIPMENT
11.1 If the event holder requests the use of their own or third-party equipment, we are not responsible for any damages that may occur during use.
12. INSURANCE POLICY
12.1 Kips Mobile Bar holds public liability insurance for our Event Hires . For additional information regarding our coverage, please contact us.
13. ALCOHOL SERVICE
13.1 Once our RSA-qualified staff complete their service at the bar, responsibility for compliance with liquor laws passes to the event holder and their guests.
14. ALCOHOL LIABILITY AND SERVICE REFUSAL CLAUSE
14.1 To ensure the safety of all event attendees, our RSA-qualified staff reserve the right to refuse service to any guest who appears intoxicated or behaves inappropriately. No refunds for services will be issued for any refusal to serve alcohol.
15. FORCE MAJEURE
15.1 Kips Mobile Bar shall not be liable for any failure to provide services due to circumstances beyond our control, including but not limited to extreme weather conditions, natural disasters, government regulations, pandemics, or other unforeseen events. In such cases, we will work together to reschedule the event or make alternative arrangements.
16. DAMAGE TO PROPERTY
16.1 Kips Mobile Bar is not liable for any damage to the event venue or surrounding property caused by guests or event attendees. The event holder assumes full responsibility for any damage that occurs during the event.
17. OVERTIME/EXTENDED SERVICE FEES
17.1 If the event exceeds the agreed-upon time frame, additional charges will apply for extended service. Overtime fees will be calculated at a rate of $75 per hour (time and a half) per bartender, and payment will be required immediately upon conclusion of the event.
18. PRIVACY AND DATA PROTECTION
18.1 Kips Mobile Bar value your privacy and are committed to protecting your personal information. Any details collected during the booking process will be used solely for the purposes of providing our services and will not be shared with third parties without your consent.
19. HEALTH AND SAFETY GUIDELINES
19.1 Kips Mobile Bar complies with all relevant health and safety regulations. The event holder agrees to ensure that the event complies with all local laws and safety standards, including the provision of safe working conditions for our team.
20. INDEMNITY
20.1 The event holder agrees to indemnify and hold Kips Mobile Bar harmless from any and all claims, liabilities, damages, or expenses (including legal fees) arising from any breach of these terms and conditions or any actions taken during the event by the event holder or their guests.
21. USE OF EVENT PHOTOS
21.1 Kips Mobile Bar reserves the right to take photographs during the event and use these images for promotional purposes, including but not limited to social media, our website, and marketing materials. If you do not wish for photos from your event to be used, please notify us in writing prior to the event.

22. WASTE
22.1 Kips Mobile Bar supply an in-house bin for bar-related waste only; any additional waste disposal beyond bar use must be arranged by the event holder.
